Billing, Refund & Cancellation Policy

Last updated: October 28, 2026

This policy covers two kinds of payments:

  • DPC Pro subscriptions, which practices pay to DPC Pro; and
  • patient charges, which patients pay through DPC Pro, as merchant of record, for their practice's services.

These terms are part of our Terms of Service.

1. DPC Pro subscriptions (for practices)

Billing

  • Subscriptions are billed monthly, in advance, at the price shown in our Pricing section or in your account.
  • No setup fees. No long-term contracts.
  • No free trial. Billing starts when your subscription starts.
  • No discounts or promotional pricing.

How to cancel

You can cancel at any time. To cancel, sign in at app.dpcpro.com and cancel from your account settings, or contact us through our contact page or at [email protected].

When cancellation takes effect

Cancellation takes effect at the end of your current billing period. You keep full access until then, and we do not charge you again.

Refunds

We do not give refunds for partial months. If you cancel partway through a billing period, you keep access until the period ends, and the fee for that period is not refunded.

If we charged you in error (for example, a duplicate charge, or a charge after your cancellation took effect), contact us and we will refund the incorrect amount. If we end the service for our own convenience, we refund the prepaid fees for the unused part of your billing period (see Section 13 of our Terms).

Your data after you cancel

You can export your practice data before your cancellation takes effect, and for 30 days after. After that, we may delete it. See Section 7 of our Terms for details.

2. Billing questions and disputes

If you have a question about a charge, or think a charge is wrong, please contact us first through our contact page or at [email protected]. Include your practice name and the date and amount of the charge.

We reply within 2 business days. Most billing problems can be fixed faster this way than by a dispute with your bank or card issuer.

3. Patient charges (for patients)

Practices use DPC Pro to bill their patients for memberships and other services. DPC Pro processes these payments as the merchant of record on the practice's behalf, so the charge may appear on your statement with the name DPC Pro.

  • Each practice sets its own terms. Your practice decides its membership prices, its refund rules, and how and when you can cancel your membership.
  • Questions, refunds, and cancellations: contact your practice. DPC Pro cannot change a practice's prices or approve a refund on its behalf. When a practice approves a refund, DPC Pro processes it through Stripe.
  • Do not recognize a charge, or cannot reach your practice? Contact your practice first. You can also contact us through our contact page or at [email protected]. We reply within 2 business days. If the practice cannot be reached, we review the charge and may refund it directly.

4. Payment security

Payments on DPC Pro are processed by Stripe, a PCI DSS Level 1 certified payment processor. Card and bank details go directly to Stripe over an encrypted (HTTPS/TLS) connection. DPC Pro does not store full card numbers or bank account numbers on its servers. See Payment security in our Privacy Policy.

5. Changes to this policy

We may update this policy. When we do, we change the "Last updated" date at the top. If a change is material, we will tell practices by email or in the app at least 30 days before it takes effect.
